Secretary (OA)

Duties:
This position performs secretarial support and office administration for the Medical Center Associate Director for Operations in the Executive Office of the Medical Center Director.
In some cases, performs program support for the subordinate staff of these individuals as well, by performing executive office assistance auxiliary to the work of the medical center.
Provides support for the Program Specialist/Secretary to the Director.
oReceive, schedule, refer and contact members of the staff, agency and persons outside the agency.
oReceive all telephone calls and visitors to the Executive Office.
oAct as liaison to other managers and staff within the organization.
oDemonstrate courtesy, tact and helpfulness in all contacts.
oUse own judgment in performing work.
oProcess incoming and outgoing materials such as correspondence, reports, memoranda and other forms of written communication.
oCompose and edit letters, reports and reviews correspondence for accuracy and completeness.
oEnsure due dates are met in a timely and satisfactory manner.
oAdvise supervisor of important issues arising during the supervisor's absence.
oMaintain strict standards of confidentiality and privacy of sensitive information flowing through the Associate Director for Operations office.
oSchedule appointments, coordinate meetings and/or schedule conferences.
oProvide extensive calendar maintenance, executive program support services such as maintaining calendars, arranges for meeting and conference administrative details.
oFollow-up on action items with appropriate staff members independently.
oAttend meetings and prepare minutes in a timely manner.
Work Schedule:
8:
00am-4:
30pm, Monday through Friday (Flexible hours are possible between the hours of 7:
00am-5:
30pm, Monday through Friday).

The selectee may be promoted to the full performance level without further competition when all regulatory, qualification, and performance requirements are met.
Selection at a lower grade level does not guarantee promotion to the full performance level.


Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
